Handle Warranty Returns the Right Way

Returning a warranty part? Be sure to follow the correct Return Goods Authorization (RGA) process to avoid delays or non-return charges.


Before You Ship

  • Submit your warranty claim in XOi.
  • Once approved, retrieve your RGA and Return Order (RO).
  • Review the RGA comments for return instructions, freight details, and any special requirements.


Prepare Your Return

  • Write the RGA number on the outside of the package.
  • Include a copy of the RGA/RO inside the shipment.
  • Ship using the freight method specified on the RGA.


After shipping, email your
tracking information, shipping receipt, or signed BOL to RGA@aaon.com.


Keep in Mind

  • Returns must be received within 90 days of the RGA issue date.
  • Never return a part without an approved RGA.
  • Returned parts are evaluated by AAON or the original manufacturer. If no manufacturing defect is found, the replacement part may be billed back.
